What is CASENOTE SOFTWARE|E.P.R. and CASENOTE|essential?
CASENOTE SOFTWARE|E.P.R. (patent pending) and CASENOTE|essential (patent pending) are dental electronic patient records. An electronic patient record is a software application which replaces traditional paper charts and offer a superior method to record and archive patient data.
Our software applications were created “in the operatory,” in an actual clinical setting. Exactly where it will be used. When introducing technology into your operatory, you should always consider the following factors:
>Usability - The “flow” of an electronic patient record is critical. The bottom line is, if something works well for you, you will most likely use it. Casenote Software was created by a dentist. It was conceptualized [outside] of the software industry, to stay true to the familiar form and function of a traditional paper chart. It was designed FROM IT’S INCEPTION for the tablet P.C.. This allowed us to use all of the benefits of this advanced technology in a simple, familiar format.
>Learning curve - Your time is valuable, both at work and at home. Dental software programs are associated with difficult learning curves and expensive time consuming training. Both of Casenote Software’s programs require no financial cost for training, as it is easily and quickly accomplished with the use of our simple, state-of-the-art demo film loops and instruction manual.
>Beneficial to clinical practice -Expedited Treatment plan entry
-Superior protection against human error and negligence
-Comprehensive casenote entries in seconds
-Elimination of cross-contamination
-Superior archiving and preservation of data
>Return on Investment - Refer to our R.O.I. section
How safe will my data (patient’s records) be?
Casenote Software uses the same database and software platforms as many hospitals, governmental agencies and financial institutions. All of your vital patient data will be recorded and saved by a reliable, time tested system used in a vast array of mission critical systems.
As for hardware, a dedicated server using redundant hard drives is strongly recommended. This will virtually eliminate any chance of downtime due to a system “crash,” as will a properly designed and deployed network. Along with our world class hardware partners, we will guide you to the perfect solution to suit your needs. Installation, network configuration, and unparalleled technical support is also available for all hardware / network components.
What kind of training will I need to be proficient using Casenote Software?
Beta test results thus far have show an average of 2 ½ days to full proficiency with Casenote Software E.P.R.. This is even more impressive when considering that no “formal” training was given to these users.
Our instructional manual was designed exclusively by Dr. De Rosso. It is extremely easy to understand and walks the user through each and every step using screenshots, and “call out” boxes.
Additionally, the user is provided with a series of “demo film loops”, which are mini-movies, which include narration as well as text directions. Each and every process and feature is demonstrated in a simple and clear manner. Part of our development process was to show these instructional aids to “non-dentists.” After little time, they were able to perform many of the processes in Casenote Software which dentists and their staff will be executing on a daily basis.
Due to our simple design and modern platforms, there is no need for a large user manual with dictionary type print.
Does Casenote Software really provide a superior level of malpractice
Protection ?
Absolutely! The following are excerpts from the “Office Guide For Dental Risk Management” published by Family Physicians Insurance Company. A cooperative program of the Florida Dental Association and the Family Physicians Insurance Company (please see link at bottom of paragraph):
“The dental record is often the single most important document in the defense of a negligence action and ordinarily is admissible as evidence of what occurred in the care and treatment of a patient.”
"In evaluating a potential claim, one of the first steps taken by a plaintiff’s attorney is a thorough review of the dental records."
"In virtually every discussion of dental malpractice risk management, the critical importance of keeping accurate, complete records is stressed."
"Unfortunately, for those less diligent, poor records may result in a poor defense of a non-meritorious claim."
"Good records can unmask the non-meritorious dental claim before it reaches the court room."
"Poor records, however, may make even a non-meritorious claim impossible to defend."
"You must realize that the need for good record keeping has become even more important in the face of increasing frequency and severity of liability claims."
"Without a legible and complete dental record, the dentist may be indefensible against allegations of improper or negligent care. Additionally, some courts will allow the jury to resolve any ambiguities in a dental record in favor of the patient. Anyone who reads the dental record should be able to evaluate its contents and determine who participated in the care, and reconstruct the details of the care, including all information used in the clinical decision-making processes."
The following are some of the key elements / protocols of acceptable record keeping:
-All entries should be timed and dated
-Writing must be legible
-All entries should be complete and unambiguous
-Document the facts only – do not include irrelevant personal observations or criticisms of the patient
-Do not skip lines or leave spaces between entries
-Document all patient contacts

What is a STATNOTE? How do they work?
The STATNOTE allows the clinician to pre-write the redundant content of their most commonly entered casenotes – one time. This “document” may then be used by the clinician as a template for their future casenote entries for that procedure.
STATNOTES may be written in text, “script” (using a stylus) or via our “inkable” text note. Any number of STATNOTES may be attached to procedures in a number of ways. The result is a comprehensive, accurate casenote entry in seconds! Variables need only be added.
What is the “Sentry” alert? How does it work ?
The “Sentry” alert is the name for our electronic medical alert system. Without fail, it will present each time you open the patient chart. The “Sentry” will help ensure that you never treat a patient without the pre-medication which is mandatory for their safety. Furthermore, It will protect you and your patient by requiring the patient’s signature on an electronic “verification of pre-medication” form. It will also warn you of many other commonly encountered medical alerts such as allergies, drug interactions, pregnancy, pacemakers etc..
Additionally, the “Sentry” alert watches over your patient’s oral and peri-oral lesions. Upon the observation of a pathology, the clinician is enabled to meticulously recreate the lesion on one of nine “pre-rendered” images of the oral and peri-oral anatomy. After which, the “Sentry” alert will present at all user’s log-ins after a period of 14 days to ensure that the lesion is either appropriately treated, or referred. In effect, it protects against the failure of properly following up on a potentially pathological or fatal lesion. Consequently, the clinician can concentrate on dentistry.
What type of training will be provided?
A PDF instructional booket and “demo” film loops will be included with the software. Both were written and prepared by Dr. De Rosso, not a software writer. The result is a “super easy” manual and series of short film loops which will guide you through each and every facet of Casenote Software.
In most of our initial presentations, our viewers have expressed their total understanding of the entire program following a 20 minute demo loop. The manual is composed of screenshots with overlying instructions in large, easy to read fonts. The Loops show the actual “procedure” followed in each interface with both narration and text supplementation.
We strongly feel that a large part of the success of a software program lies in the training process. We are confident that our instructional materials will easily lead you to a “proficient” level within a very short period of time
I already have computers in my operatories. Do I have to change them ?
No. Casenote Software may be operated on all computers. It is formatted for both desktop (landscape) and tablet (portrait) orientations. In addition, you are able to add tablet P.C.’s to your network via a wireless network connection. As earlier mentioned, Casenote Software was designed expressly for the tablet p.c..
What if a patient becomes inactive? How do I file their record ?
Inactive patients are easily categorized in a flash. You will also be enabled to segregate the view of the patients seen in the patient window as follows:
-Active only
-Non-active only
-Both Active and Non-active
I want to keep using certain parts of my existing practice management software in the operatory. will I be able to?
Yes. This is the reason why we introduced CASENOTE|essential. Software applications should provide an ideal solution to benefit the user. CASENOTE|essential allows you to benefit from many of the benefits of our E.P.R. technology, while continuing to use your existing treatment planning / tracking and charting method. You can therefore enjoy a truly paperless office.
CASENOTE|essential may be easily upgraded to CASENOTE SOFTWARE|E.P.R. at any time.
Will I be able to “switch” all of my existing patient data into electronic form ?
Yes. All of your existing data may be scanned into Casenote Software (radiographs require a digital scanner.) We can even suggest a high speed scanning service which will carry out the data transfer for you.
After your patient data is scanned into Casenote Software, it is securely maintained in our reliable, time tested platform in a “non-editable” form. All scanned data is printable as is needed.
I have been using certain forms for years and don’t want to part with them. Can I continue using them with your software?
Yes. You can scan any of your favorite forms into Casenote Software, which will allow you to use them over and over again as a template. Each time that you enter information on these forms, it will be securely archived in that patient’s record as a “read only” document. This will help to improve your laboratory case tracking, “consent to treatment” documentations as well as many other tasks which you now Accomplish with paper.
I am a seasoned practitioner. Will Casenote Software be difficult for me to learn ? What advantages would it provide ?
Since Casenote Software is so close to a traditional paper chart, you will be familiar with the “flow” and “setup” right from the start. Combine that with the program’s simplicity and “user-friendliness”, it should be a relatively simple transition.
There are a multitude of advantages, including that you will have a state-of-the-art clinical management system in place when you decide to take on a partner, or transition out of dentistry. This should, in fact, benefit you in negotiating your terms of sale / partnership.
What is Casenote Software's technical support policy?
Casenote Software is coordinating a “hands-on” support team which will easily guide you through any questions which you may have. We are determined to offer a cost-effective plan to our customers, as we firmly believe that our instructional materials will be adequate for the vast majority of users.
Does Casenote Software Have an E.P.R. program strictly designed for the specialties?
Yes. we are currently working on E.P.R. applications for all of the specialties, with practitioners in those respective fields. Any specialist who starts with our current E.P.R. offering, will easily be able to convert to the E.P.R. designated for that specialty. Our first specialty E.P.R., which is nearing completion, will be for endodontists.
